Account & sign-in
Do I need an account to use DayGraft?
No. DayGraft works fully offline on your device without signing in. An account is only needed if you want your data backed up and synced across devices — for example, logging work on your phone and viewing it on an iPad.
How do I sign in?
Go to Settings and choose Sign in with Apple or Sign in with Google. This creates an account used solely to back up and sync your data — see our Privacy Policy for details.
I signed in but it's asking for my password every time
This is normal the very first time you sign in on a device — after that, your sign-in should be remembered and you'll go straight through without retyping anything.
How do I delete my account?
There's no in-app delete button yet — see Delete your account below for how to do it.
Delete your DayGraft account
To delete your DayGraft account and cloud backup: email support@daygraft.app from the email address linked to your account, with the subject "Delete my account".
We'll delete your account and all associated cloud backup data — your profile details, evidence photos, and synced work records — within a few business days, and confirm by email once it's done.
Data stored only on your own device isn't affected by this request. To remove that too, delete the DayGraft app from your device.
Syncing & devices
Is DayGraft available on Android?
DayGraft is live on the App Store for iPhone and iPad now. The Android version is in final testing and will be on Google Play shortly — the same app, same features, same account. If you sign in, everything you log on one platform will be there when you switch to the other.
My data isn't showing up on my other device
Check that you're signed in with the same account (Apple or Google) on both devices, and that both have an internet connection. Sync happens automatically in the background shortly after you make a change.
What happens if I lose my phone?
If you had an account signed in, sign in again on a new device with the same Apple or Google account and your data — including evidence photos — will restore automatically. Without an account, data stored only on-device cannot be recovered.
Can two people share one account?
No — DayGraft accounts are designed for one person's own work records and aren't built for multi-user or team use.
Logging work & pay
What's the difference between Full Tracking and Simple Hours?
DayGraft has two modes, and you pick whichever suits how you work — Settings → Tracking style.
- Full Tracking — contractors, sites, evidence photos, weekly statements, payment checking and mileage. The full toolkit, and the right choice if you're on CIS and need to prove what you did.
- Simple Hours — a start/end time grid for the week, with breaks, overtime rules and a running total. No contractors or photos, just hours and pay.
Switching between them never deletes anything. The other mode's history is kept and hidden, and comes straight back if you switch again. The user guide covers both in full.
Can I change which day my week starts on?
Yes — Settings → Week starts on, and pick any day. This controls weekly statements, weekly totals and overtime thresholds, so set it to match how your contractor runs their pay week. It defaults to Monday.
Can I track more than one job at once?
In Full Tracking, add as many contractors and sites as you need and pick them per day. In Simple Hours, tap the job name and choose Add another job — each job keeps its own rate, overtime rules, week grid and history, with a switcher in the header.
What's the difference between the three pay types?
- Day rate — a fixed amount per full or half day
- Hourly — an hourly rate with a manually set overtime rate/hours
- Auto OT — set a weekly basic-hours threshold (e.g. 37.5h) and an overtime multiplier (e.g. ×1.5); DayGraft automatically splits each day into basic and overtime hours as your week progresses, and handles Sunday and bank holiday rates too
My overtime rate looks a penny out from my payslip
Under OT rules, there's an "OT rate rounding" setting — Down, Nearest, or Up. Different payrolls round a multiplied rate differently (e.g. £18.13 × 1.5 = £27.195, which must round to a whole penny somehow). Match whichever your contractor's payroll uses — most commonly Down.
Can I log a day for a date in the past?
Yes — tap the date field on the day entry form and pick any date.
Mileage
How does automatic mileage work?
Add your home postcode once in Settings, then a site's postcode the first time you use it there. DayGraft calculates the driving distance and remembers it, so future entries at that site are pre-filled automatically.
I worked at two sites in one day — will it double-count the miles?
No. DayGraft detects same-day entries and works out the real route — home → first site → second site → home — splitting the mileage sensibly between the two entries rather than assuming two separate round trips.
Is my home address sent anywhere?
Your postcode is sent to two free routing services (postcodes.io and OSRM) purely to calculate distance — never to a person, and never stored by them alongside any other identifying information. See our Privacy Policy for the full list of who DayGraft shares data with.
Can I claim mileage for any site I work at?
That depends on your own circumstances — HMRC's simplified mileage rate generally applies to temporary workplaces, not to ordinary commuting to a permanent one. DayGraft calculates the distance and the allowance figure, but doesn't judge whether a particular journey qualifies — check with an accountant if you're unsure.
I logged weeks of hours in Simple Hours before setting up mileage — can I fix it without deleting everything?
Yes. Open the job (tap the job name), set the correct Round-trip miles per day, and a new section appears underneath: Update already-logged days. Leave the date as it is to update the whole tax year, or change it to update from a specific date onward, then tap Update logged days. Nothing is deleted or re-entered.
You can run it more than once — if your mileage changed partway through the year (a new site, a house move), update the whole year first with the old figure, then run it again from the date it changed with the new one. Each run only touches the dates you choose, so earlier and later periods keep their own figures.
Statements
How do I send a statement to my contractor?
From the Days tab, tap a week's summary and choose Generate statement. You can print it, save it as a PDF, or share it directly.
Can I leave photos out of a statement?
Yes — on the statement screen there's a toggle showing "Photos included" or "No photos" next to the print button. Tap it to include or leave out the evidence appendix; your choice is remembered for next time.
My name isn't showing on the statement
Add your name in Settings first — DayGraft needs it before it can generate a statement.
Photos & exports
How do I get all my evidence photos out of the app?
Settings → Evidence & receipts → Download all photos. Choose "This tax year," a specific past year, or all years combined. Everything downloads as one zip file, organised into folders by tax year, then by week for work evidence and by category for expense receipts.
The download / share option isn't doing anything
Make sure you're on the latest version of the app from the App Store. If a share sheet doesn't appear after a few seconds, try again — on rare occasions a very large export can take a moment to prepare.
How do I export my records as a spreadsheet?
Settings → Export CSV — one button per tax year. Opens or shares a CSV file you can open in Excel, Numbers, or Google Sheets.
App settings
What languages does DayGraft support?
English, Polish, Romanian, Russian, Lithuanian and Latvian. Change it in Settings → Language; the whole app switches, including the built-in user guide. Your data isn't affected — only what's displayed.
Can I lock the app so nobody else can open it?
Yes — Settings → App Lock. DayGraft will then ask for Face ID, Touch ID or your device passcode each time it opens. Your device needs a passcode set for the option to be available. If you can't get past the lock, use the "Trouble unlocking?" link on the lock screen and tap twice to switch it off.
Can I change how the app looks?
Settings → Appearance has three themes: Business, Hi-Vis and Heritage. It's purely visual — nothing about your records changes.
Where's the user guide?
Tap the ? icon at the top of any screen in the app, or Settings → User guide. It's also on the web at daygraft.app/guide.html.
Tax & CIS
Everything below is general information about how the app's calculations work — not tax, legal, or financial advice. Always verify figures with an accountant or HMRC directly before relying on them.
How is CIS deducted?
Set your CIS rate in Settings (commonly 20% for registered subcontractors, 30% if unregistered, or 0% for gross payment status). DayGraft applies this to labour only — materials are never CIS-deducted, matching HMRC's own rules.
What is the "Year pace" figure in Settings?
It projects your likely total earnings for the current tax year based on your logged pace so far, and compares that to the £50,270 threshold where the 40% higher-rate tax band begins (England, Wales & NI — Scotland's bands differ). It's a rough guide, not a tax calculation.
What is Making Tax Digital (MTD)?
MTD is HMRC's move toward digital quarterly reporting for the self-employed. Settings shows your current quarter's figures and the next deadline. DayGraft's exports are designed to make it easy to hand quarterly totals to your accountant or MTD-compatible software.
Subscription
What does DayGraft Pro include?
Pro unlocks unlimited contractors, statement generation, payment reconciliation, and extended evidence storage. Pricing is shown in the app before you subscribe.
How do I cancel my subscription?
Subscriptions are managed through your Apple ID or Google Play account settings, not inside DayGraft — cancel at least 24 hours before renewal to avoid being charged again.
I resubscribed / got a new phone — how do I restore Pro?
Settings → Restore purchases. This re-links your existing subscription to the app without charging you again.
Troubleshooting
The camera won't open when adding evidence
Check DayGraft has camera permission: on iPhone, Settings app → DayGraft → Camera. If it's off, switch it on and reopen DayGraft.
A photo I took isn't showing up
Photos are compressed and stored on your device, then backed up to your account if you're signed in. If one's missing, check your internet connection — it may still be uploading — and try again in a minute.
The app feels slow with a lot of history
DayGraft is designed to handle years of records smoothly. If something feels sluggish, force-quitting and reopening the app usually resolves it — if it persists, email us with roughly how many entries and photos you have.
